Give apartment residents access to only their own charger

How a property manager uses groups so each resident sees and charges only on their own charger.

In an apartment building each resident should see and charge only on their own charger. You set this up with groups in the VOOL portal: one group per parking space, holding that space's charger and its resident.

How access works

  • The role (Access management → Members) decides what someone can see and change. Residents should be Member (VOOL app and portal) or Charge-only member (charge.vool.com only).

  • The group (Access management → Groups) decides which chargers a member can see and charge with.

  • Admins and Workspace managers always see every charger. Never give residents these roles.

  • If the workspace has no groups, every member sees all chargers. As soon as at least one group exists, a member who is in no group sees no chargers.

  • A member in several groups gets the chargers of all those groups.

  • An RFID card added to a group starts charging only on that group's chargers. A card with no user and no group works on every charger in the workspace.

Before you start

  • Name each charger after its parking space or apartment (for example "P13"), so you can find it in the list.

  • Have the resident's email address, and their RFID card number if they use one.

Give a resident access to their charger

  1. Open app.vool.com, go to Access management → Groups and click Create a group.

  2. Details: enter the parking space as the group name, for example "P 13". Leave the pricing rule, Program for RFIDs and strategies as they are, unless the building uses paid or smart charging. Click Next.

  3. Assignment: expand the building's site with the arrow and tick only the resident's charger. Don't tick the site or workspace row, as that gives access to every charger under it, and don't tick the LMC. Click Next.

  4. Members: type the resident's email. Pick them from the list if they're already in the workspace; otherwise they get an invite email when the group is saved. Add their RFID card here too.

  5. Click Create.

  6. Check Access management → Members: the resident's role is Member (or Charge-only member) and the Groups column shows their group.

  7. Ask the resident to accept the invite and log in to the VOOL app. They should see only their charger.

Tip: when you create the first group in a workspace that already has members, everyone who isn't in a group loses access to all chargers. Add every resident to a group at the same time.

Everyday changes

  • Second driver for the same charger: in Groups, click + add in the group's Members column.

  • Resident gets a second parking space: edit their group from its ⋮ menu and tick the second charger in Assignment.

  • Resident moves out: remove them from the group, then from the workspace (Members → ⋮). Remove or reassign their RFID card.

  • New owner of the space: edit the group, remove the old owner and add the new one in Members. The charger stays assigned.

  • Shared guest charger: create one group, for example "Shared", with that charger and add every resident to it.

Troubleshooting

  • Resident sees all chargers: their role is Admin or Workspace manager, the site row was ticked instead of the charger, or the workspace has no groups yet.

  • Resident sees no chargers: the workspace has groups, but the resident isn't in any. Add them to their group.

  • Someone else's RFID card starts the charger: that card has no user and no group, so it works everywhere. Assign it to a user or a group.
