Workspace manager, groups, and leaving a workspace

The sixth workspace role, why group membership decides which chargers someone can use, and the three cases where leaving a workspace is blocked.

This article covers three things the permission tables in VOOL user roles and permissions do not: the Workspace manager role, how groups decide which chargers someone can actually use, and what happens when someone leaves a workspace.

The Workspace manager role

Workspace manager is available for all workspaces. It exists because Owner and Admin give more control than a large customer environment usually wants to hand out: a Workspace manager can run access and settings day to day, but cannot touch the physical setup of a site.

A Workspace manager can:

  • Invite, remove and change the roles of members below owner level, and manage groups and access rules

  • View and edit workspace settings

  • Use billing in full — invoices, payment methods, subscriptions and pricing rules

  • View device configuration

A Workspace manager cannot add, remove or reconfigure devices. Device configuration is read-only for this role, which is the whole point of it: the person who manages people and money is not the person who can change how a charger is wired into a site.

This is the first step towards more granular roles and permissions, so expect it to gain detail over time.

Groups decide which chargers a member can use

Roles decide what someone can see and change. Groups decide which chargers they can use. These are separate, and the second one is the more common cause of confusion.

If a member is not in a group that has access to a charger, they cannot charge with it — whatever their role says. So when someone tells you they can see a charger in the app but cannot start a session, check their group membership before you look at anything else.

Leaving a workspace

A user can leave a workspace themselves from app.vool.com. There are three cases where leaving is blocked:

  • they are the only member of the workspace

  • they are the last owner or admin — someone has to be able to administer it

  • it is the only workspace they belong to, because an account with no workspace cannot be used in the mobile app

In the first and third cases, the answer is usually to delete the account rather than leave the workspace. In the second, promote someone else first.

What members see in the mobile app

In the VOOL mobile app, members no longer see device and site settings at all — those screens are hidden rather than shown and refused. If a member says a settings screen has disappeared, that is why.
